Noble Cortex is searching for a goal-driven, smart, confident, emotionally intelligent, and highly capable Personal & Executive Assistant to support a highly influential executive in the at the forefront of AI innovation. This is not a conventional support role, it is a long-term opportunity to grow and learn while working on transformative, working on world-class AI projects across multiple ventures.

The ideal candidate is someone who thrives in fast-paced environments, manages sensitive information with the utmost discretion, and exhibits strategic thinking, technological fluency, and sound judgment. You will be integral to driving daily operations and strategic initiatives forward while gaining unique exposure to cutting-edge AI and startup ecosystems, all while embarking on an exciting journey to grow into a high-tech business leader in a matter of a year!

What you will do

Organizational Structure:

• Report directly to the executive, with regular collaboration across CEOs, CTOs, COOs, and other senior stakeholders.
• Lead and supervise Marketing, Administrative, Customer Support, and Business Development resources.

Key Responsibilities:

• Confidential Personal & Executive Support
  • Manage sensitive personal and professional information with the utmost discretion and integrity, ensuring a trusting and secure environment.
  • Schedule and manage personal and professional calendars, appointments, and commitments, helping to create a well-organized and balanced life.
  • Approach all tasks, especially those related to the tech team, with empathy, compassion, kindness, discretion, and professionalism, fostering a positive and collaborative atmosphere.
  • Proactively lead and manage your executive’s personal errands, household management, payments, online orders, and logistics, making daily life smoother.
  • Arrange and coordinate travel (flights, accommodation, transport).
  • Provide direct assistance during important personal events or emergencies, offering support and reassurance when it matters most.
• Strategic Planning & Project Management
  • Play a vital role in high-level strategic planning and business development across multiple exciting startups and initiatives, contributing to innovative growth and success.
  • Take ownership of planning, research, and coordination for ongoing and ad-hoc projects, crafting timelines, coordinating deliverables, and ensuring everything flows smoothly and efficiently.

• Communication & Liaison
  • Serve as the communication gatekeeper and trusted representative, skillfully managing emails, calls, messages, and social media DMs to create seamless connections.
  • Screen and draft emails, prepare correspondence, and coordinate with both internal and external stakeholders, ensuring that only critical communications are escalated while making it a priority to follow up and respond on every email by the end of the day.
  • Represent the executive with professionalism and poise in high-level communications, showcasing their vision and values with pride.
  • Prepare engaging meeting agendas, take insightful minutes, and manage follow-ups, ensuring that every discussion leads to meaningful action and collaboration.
• Team Coordination & Leadership
  • Lead and inspire a small, dynamic team that includes social media, administrative, customer support, and business development professionals, fostering a collaborative and positive work environment.
  • Communicate directly with external partners, executives, and stakeholders across all ventures, building strong relationships that drive success and innovation.
  • Play a key role in recruiting, onboarding, and managing remote contributors and contractors, welcoming new talent with enthusiasm and support.
  • Serve as a unifying point between the executive and internal teams, ensuring everyone is aligned and motivated toward shared goals.
• Brand & Media Presence
  • Oversee and collaborate with the PR team to enhance executive presence and develop engaging, startup-aligned content that resonates with audiences.
  • Ensure consistent and professional digital brand representation and development for the executive and affiliated ventures, including Voxr and AIBES, showcasing their unique value and vision.
  • Organize and prepare for exciting media appearances, webinars, and thought leadership opportunities, creating platforms for impactful communication and influence.
• Security & Compliance
  • Adhere to essential cybersecurity protocols, including secure logins, routine password changes, and protecting disclosed company information, such as using headsets on video calls with discretion, to create a safe and secure environment.
  • Maintain strict confidentiality and non-disclosure in all work, verbally, digitally, and operationally, upholding a zero-tolerance policy for breaches to ensure trust and integrity.
  • Use only secure, approved channels for communication and document handling, reinforcing a culture of security and responsibility.

Preferred Qualifications:

• Experience with Startup Founders and Executive-Level Stakeholders: Having worked with startup founders, investors, or executive-level stakeholders, you bring a unique perspective that will enhance our collaborative efforts and drive our success.
• Exposure to Federal, Policy Making, or International Business Communication: If you’ve had the opportunity to engage in federal, policy-making, or international business communication settings, your insights will be a tremendous asset as we expand our reach and influence.

Travel Requirements:
